The Opportunity

Full time permanent opportunity for a highly effective Executive Assistant to work alongside the newly appointed Asia Pacific (APAC) HR & OHS (Occupational Health and Safety) Zone Director in our Pyrmont office. In this role you will provide high level administrative & project management support to the Zone Director while always maintaining customer centricity with stakeholders.

The position will require a level of HR knowledge and background to assist with preparing important people and safety documentation, data, presentations and project management.

What you’ll be responsible for

  • Effective diary management - coordinate and plan all meetings ensuring effective time management of the Zone Director’s schedule
  • Drafting and executing high quality documentation
  • Assisting with project management
  • Meeting and event planning - prepare all necessary documentation for meetings and ensure Zone Director’s events are well prepared and managed on the day 
  • Travel and expense management 
  • Other administrative support as required 
     

What you’ll need to be successful

  • Previous experience working closely with C-suite executives or stakeholders
  • Proven experience providing confidential administrative support and demonstrated ability to exercise absolute discretion (critical)
  • Effective communication and presentation skills (written and spoken) 
  • Strong organisational and time management skills 
  • Proficient with Google products (eg Calendar, Doc, Sheets, Slides, Keep) 
  • Background and experience working in a previous HR team would be highly regarded
  • Demonstrated ability to work independently and with flexibility - occasional requirement to work in Asia Pacific time zones
