We are seeking an Executive Assistant  to join our NZ Team reporting to the Country Manager. This role will provide high level secretarial support to multiple executive stakeholders. Proven ability to deal with highly confidential information. 

 

What you'll be responsible for

  • Manage The Country Director’s s calendar, scheduling meetings, appointments, and travel arrangements  
  • Manage The Country Director’s  inbox efficiently and prioritise action items
  • Assist with the creation and preparation of meeting agendas, reports, presentations, letters and executive/departmental documents
  • Effectively manage meeting minutes and actions
  • Prepare briefing materials, reports, presentations, and other documentation for the Country Director
  • Manage correspondence between The Country Director  and internal/external stakeholders - this may include drafting communication for the executive
  • Manage expenses, credit card reconciliation and process invoices
  • Maintain organized filing systems (electronic and physical) for the Country Director's records
  •   
  • Prepare and coordinate travel requirements and itineraries for the New Zealand Leadership Team, and other support function team members 
  • Plan and manage events / functions within nominated budget 
  • Assist support functions and with special projects where required
  • Own the Leadership Team calendar for the year, ensuring that all leadership activities are appropriately planned for
  • Provide general administrative support to the Director as needed

  • Work productively in a highly collaborative team environment; 
  • As directed provide support to the team and complete tasks in accordance with Veolia policy and procedure;

Working Relationships (Internal/External):

  • Maintain effective working relationships with other members of the team as appropriate;
  • Maintain effective working relationships with personnel in other departments; 
  • Ensure Manager is kept informed of issues;
  • Attend and participate in regular team meetings; 
  • Maintain an effective relationship with and assist external parties as required;

  • Manage personal health and wellbeing to achieve performance requirements, including identifying and managing personal stress;
  • Demonstrated personal leadership for safety and a determination to achieve a workplace with zero injuries;
  • To promote and continuously apply personal safety, environmental and quality awareness in the workplace;
     

Competencies

Qualifications / Experience / Licences:
Min 5 years experience as an Executive Assistant or Office Manager in a medium to large organisation
Demonstrated experience working with Executive/Senior level stakeholders
Proficient in google suite (sheet, doc ect) 
Demonstrated experience managing a team  
Personal Attributes:
Excellent interpersonal and communication skills with the ability to work with a range of stakeholders across all levels
Proven ability to act as a trusted business partner and maintain confidentiality at all times
Ability to work independently and without supervision
High level of attention to detail and quality of work 
Ability to prioritise, organise and self manage time and workload
Ability to get things done, self learn and solve problems
