The Contract Administrator is responsible for financial and contract administration matters required for the effective operation of the Central Hawkes Bay Contract
This role requires the Contract Administrator to ensure service delivery is consistently high, meeting both contract obligations and internal Key Performance Indicators (KPIs). What you'll be responsible for
Responsibilities include:
- Provide financial administration for the Central Hawkes Bay Contract. This includes matters relating to the processing of timesheets, job costings and invoices, the creation of purchase requisitions, and the completion of financial and operational records in Infor VAMS.
- Monitoring and Reporting of Contract deliverables and support in coordinating and reporting the operational response to requests for service as required.
- Preparation of Monthly report template and relevant data input.
- Support the Supervisors in creation and management of work orders for Reactive, Routine, Project Works and Third Party works and preparing claims and invoices for the recovery of Veolia costs, organising training and maintaining records as required, in the development and maintenance of Standard Operating Procedures (SOP’s)
- Management of all requests for service (RFS), including reassignment, work order creation, allocation, maintenance of RFS management sheets & Client systems, updating attendance and resolution status.
- Enter all complaints and compliments within the H&S system – Rivosafeguard
- Administer and schedule Site inspections & Always Safe Interactions with the leadership team..
- Comply with the requirements of Veolia Occupational Health and Safety and Environmental Policy Statements,
- Liaison with Joint Venture (JV) partners in relation to financial, contract claim, rfs administration matters.
What you'll need to be successful
- Previous experience in an office administrative role is required.,
- Experience within the contracting or water industry is advantageous.
- A self-starter who can work with a high degree of autonomy, personal integrity, and a good work ethic with a focus on quality of work, and able to quickly adapt to changing circumstances.
- Planning and organisational ability, strong commercial acumen, analytical and problem solving skills.
- An effective communicator who can interact and relate to staff at all levels of the organisation, and to the client, suppliers and customers
- Can maintain a stable performance level during periods of pressure.
- Proficient in the use of computers with a strong understanding of Google software and Microsoft Office.
- Current driver’s licence.
- Ability and willingness to work out of hours when required.
- Understanding of ISO 9001, ISO 14001 and Health and Safety legislation.
