The Opportunity

We are seeking an experienced and highly autonomous Office Manager to provide comprehensive executive support to our Country Manager and Leadership team and oversee office operations at our Ellerslie location. This is a full-time, office-based role requiring 8 hours per day, Monday to Friday.

What you'll be responsible for

AUTONOMY & PROVEN SUCCESS:
• Minimum 10 years' experience as an Executive Assistant or Office Manager in a MEDIUM TO LARGE ORGANISATION
• Demonstrated track record of successful performance at executive/senior leadership level
• Proven ability to work INDEPENDENTLY and WITHOUT SUPERVISION
• Self-starter who can anticipate needs, propose solutions proactively, and get things done

IT & PROCESS EXPERTISE:
• Proficient in Google Suite and relevant software applications
• Strong knowledge of business processes and administrative systems
• Experience with procurement systems (Ariba experience advantageous)
• Demonstrated capability managing IT-related administrative functions
• Excellent process management skills including PO raising, invoice processing, and system coordination

Key Responsibilities:
• Provide high-level executive support to Country Manager and senior leadership
• Manage complex calendars, travel arrangements, and confidential correspondence
• Oversee office operations including supplies, maintenance, and vendor relationships
• Coordinate onboarding/offboarding processes and IT equipment management
• Handle financial administration including expenses, POs, and invoice processing
• Lead office engagement initiatives and event coordination

What you'll need to be successful

Qualifications / Experience / Licences:

  • High school diploma or equivalent; post-secondary education in business administration or related field preferred
  • Minimum 10 years experience as an Executive Assistant or Office Manager in a medium to large organisation
  • Demonstrated experience working with Executive/Senior level stakeholders
  • Proficient in Google Suite and other relevant software applications
  • Demonstrated experience managing administrative functions
  • Excellent written and verbal communication skills
  • Strong organisational and time management abilities
  • Attention to detail and ability to handle confidential information with discretion
  • Ability to multitask, prioritise, and work under pressure in a fast-paced environment
  • Excellent interpersonal and customer service skills
